Moving an office differs from a private move - you need to maintain a clear structure, move equipment and documents, and ideally minimize disruption to the workflow. This checklist will help you plan it systematically.
4–6 weeks out
- Set the move date and inform all employees;
- Estimate the approximate volume of boxes and materials needed (see our office offer);
- Create a plan for how departments will be arranged in the new space.
2–3 weeks out
- Assign each department a responsible person and a color code for labeling;
- Start packing archives and rarely used documents;
- Prepare a plan for moving the IT infrastructure (servers, network, printers).
1 week out
- Pack most documents, leaving only what's needed day-to-day;
- Label boxes by department and content (documents, equipment, personal items);
- If using security seals for sensitive documents, prepare and number them.
Moving day or weekend
Many companies choose to move over a weekend to avoid disrupting the workflow - this can be specified when requesting the office offer. On moving day:
- Check that all boxes are labeled and ready for transport;
- Coordinate the IT team's work so servers and the network are disconnected and reconnected in the right order;
- Assign a point of contact for each delivery address, if the move happens in stages.
First week in the new office
- Unpack by department priority;
- Check that IT systems are working;
- Gather empty boxes in one place, ready for pickup.
After the move
